Import Your Client List from Xplan
If you use Iress Xplan, you can import your client list straight into Filenote AI, with no spreadsheet needed. Each client comes in with their CRM ID and related entities (such as a partner or family trust), and their Fact Find and IPS (portfolio) details sync automatically to their Filenote AI profile.

How to import clients from Xplan
| Step 1 | Open the Xplan import |
| Step 2 | Sign in to Xplan |
| Step 3 | Choose which clients to import |
| Step 4 | Assign licensed advisers |
| Step 5 | Import your clients |
Step 1: Open the Xplan import
Go to Clients, click Import Clients, then select Select from Xplan.
Step 2: Sign in to Xplan
Sign in to Xplan. Once you're connected, you'll see Connected at the top of the window. To use a different login, click Use another Xplan account.
| ⚠ One Xplan session at a time Xplan only allows you to be signed in once. Signing in here will end any other Xplan session you have open, so save your work in Xplan first. The same applies while the import is running: if you sign in to Xplan somewhere else, the import pauses and carries on later. For the smoothest import, start it at a time when you won't need Xplan. |
Step 3: Choose which clients to import
Use the filters to import only the clients you need. Leave a filter set to No filter to include everyone.
| Filter | Use it to import |
|---|---|
| Advisers | Clients of selected advisers only |
| Client statuses | Clients with a particular status in Xplan, such as Client or Prospect |
| Client categories | Clients in the categories your practice uses in Xplan |
| Group names | Specific client groups |
Each filter has a search box, plus Select all and Clear, so you can pick options quickly.
| ? Tip Setting Client statuses to Client is a quick way to leave out prospects, archived and deceased records. |
Step 4: Assign licensed advisers
Under Assign licensed advisers, choose the matching Filenote AI user for each Xplan adviser. Use the search box to find an adviser quickly. Each client group is assigned to its master client's adviser.
| ⚠ Important Client groups are imported first if they have complete details and an adviser mapped to a licensed user. Groups that are missing details, or whose adviser isn't mapped, wait until that's fixed. Map every adviser whose clients you want to bring in. |
Step 5: Import your clients
Click Import all matches. The import runs in the background, so you can close the window and keep working in Filenote AI. Avoid signing in to Xplan elsewhere until it's finished.
After the import
- Client details sync automatically to each client's Fact Find and Portfolio tabs.
- Duplicates are flagged. If a client already exists in Filenote AI, it's flagged as a possible duplicate so you can merge the two records.
| ✓ Next step: merge any duplicates Go to Clients, click Import Clients, then Merge duplicates. See Merge Duplicate Clients. |
