Troubleshooting: File Note Not Generated? Here's Why and How to Fix It

Modified on Wed, 7 Oct at 4:57 PM

Fix an output that couldn't be generated

If you've received a notification that your Filenote AI output couldn't be generated, it's usually for one of the reasons below. Find your situation in the table, then follow the steps in the "What to do" column to get things moving again.

Reason / error messageWhat this meansWhat to do
The meeting wasn't recorded

Filenote AI needs a recording to create a file note. Without one, there's nothing for it to work from.

  1. Check whether a recording exists for this meeting.
  2. If it wasn't recorded, record a short voice memo summarising the meeting instead. You can do this by dictating in a Teams or Zoom meeting on your own, or through the Filenote AI Mobile app. Many advisers find this gives them a great starting point for a file note.
  3. Once you've recorded it, there's nothing more to do. Filenote AI automatically picks up the recording and generates your output.
The recording had no audio (e.g. it was on mute)

Filenote AI couldn't detect any audio in the recording, so it couldn't create a file note. This usually means the recording was muted, the microphone wasn't on, or the audio was captured at a very low volume.

  1. Play the recording back to check whether any audio was captured.
  2. If there is audio, re-upload the file in Magic Studio on app.filenote.ai, or through the Filenote AI Mobile app, and we'll process it straight away.
  3. If there's no audio, record a short voice memo summarising the meeting instead. You can do this in a Teams or Zoom meeting, or through the Filenote AI Mobile app.

For future meetings, check your microphone and mute settings before the recording starts.

The meeting was transcribed rather than recorded in Microsoft Teams

A file came through, but it didn't contain any audio. This usually happens when a meeting is transcribed rather than recorded in Teams, so there's no sound to build the file note from.

A transcript may still be available, even though the recording has no audio.

  1. Check your meeting for a transcript. For help finding and downloading it, see Microsoft's guide: Download a transcript from a Teams meeting.
  2. If you find a transcript, you can generate the file note and any other documents yourself in Magic Studio. See Generate documents in Magic Studio.

One or more generated outputs need manual review before delivery

Filenote AI finalised some of your outputs, but couldn't finalise the others automatically. Those outputs are waiting in Tasks for you to review and finalise.

Your email shows which outputs were finalised (and where they were delivered), and which ones still need finalising.

  1. Click Go to Tasks in your email, or go to app.filenote.ai/tasks.
  2. On the Active tab, click your task. Its name is shown under Task name in your email.
  3. Review the output listed under Needs finalising in your email, and make any edits you need.
  4. If an output is missing from the task, click + Additional Output to generate it. For more detail, see How to re-run or add output on a finalised task.
  5. Click Save, then Finalise.

Still stuck?

If none of the above matches what you're seeing, or you've tried the steps and it's still not working, forward your output email to support@blvsolutions.com and we'll take a look for you.
