What Can the Admin Role Do?
The Admin role gives you control over how Filenote AI works across your whole organisation. Admins can set shared preferences, manage your plan, and control who has access. This guide gives you a quick overview of everything the Admin role can do.

Set Organisation-Level Preferences
Admins can set preferences that apply across your organisation, so everyone works in a consistent way. This includes:
- Workflow — Set how meeting documentation moves through your organisation from start to finish.
- Writing style preferences — Set the tone and style Filenote AI uses when generating your documentation.
- Delivery settings - Set how outputs are delivered, and how meetings are triggered
- Assign support staff access - Users can add other users (paid and free) who can access their Tasks, and/or book meetings on their behalf

Upgrade Your Organisation's Plan
Admins can upgrade the plan for the whole organisation. This lets you unlock additional features and capacity as your team grows.
Manage Users
Admins are responsible for who has access to Filenote AI. You can:
- Add new users to your organisation
- Change existing user details
- Remove users who no longer need access
Manage Optional Roles
Beyond standard user access, Admins can assign or remove optional roles that give users extra permissions:
- Admin role — Gives a user the same organisation-wide controls described in this article.
- Billing role — Gives a user access to manage billing and payment details.
| ⚠ Important Only one person can hold the Billing role at a time. If it's already held by someone else, remove it from them first before assigning it to a new person. Any change in Billing will create a ticket. You will recieve confirmation once the ticket is completed. |
